How To Reassign A Workflow Task If User Unavailable To Reassign Themselves

How do we go about reassigning a workflow task in MyTasks if the assignee is unavailable to complete the work or reassign themselves(e.g. assignee is off sick)?

Hello Michael,

This is handled from the workflow administration section by a workflow administrator.

Who can do it

The user must have one of these:

  • The Workflow Administrator role defined in the workflow definition.
  • A role with the Grant full access to the model option selected in the model privileges.

Steps

  • In your application, open My Tasks and click the Administration vertical tab at the bottom of the navigation panel.
  • Find the workflow instance in the list. You can filter by workflow instance ID or status.
  • Open the workflow instance and click the user task step in the history diagram.
  • Select Release. This action is available for assigned user tasks and frees the task from the unavailable user. Select Assign and choose the new user. This action is available once the task has been released, and the new user must be one of the task’s candidates.

If the user you want to assign is not in the candidate list, for example because their role or eligibility changed after the task was created, use Refresh Candidates on the released task. This recalculates the candidates from the task’s Assignee Required Role and Assignment Condition, and the user must meet them to appear.

If you don’t want to pick a specific user, you can leave the task released instead. It returns to the candidates’ Team To Do list, where any candidate can claim it. If Notify Candidates is enabled on the user task, candidates are notified when the task is released. If Notify Assignee is enabled, the new assignee is notified when you assign the task manually.

Hope this helps.
