How to add link to Task in custom Workflow notification email

I want to create a custom workflow notification so that I can get more detailed data in to the mail sent, but I also want to include the link that the default notification that users get when I use the notify candidates tab. How could I achieve this?

You want to send a workflow email with richer data than the standard notification, while still including the link that users get from the Notify Candidates option on a user task.


Why the built-in notification can't do this

In xDM 2025.1, the layout of the Notify Candidates email is predefined. Designers can only change:

  • the branding (title bar color, logo, title) through the application properties of the user task,
  • the record data shown, through the Display Card set on the entity in the workflow definition,
  • the subject and text, through custom translations.

You can't add arbitrary data fields or custom links to that email.


How to get a detailed email with a link: use a Send Email automation

  1. In the Workflow Builder, add an Automation step with the type Send Email, placed before the user task.
  2. Set Application, Recipients, Subject and Body. With the HTML - Preformatted content type, you only provide the body content with simple HTML.
  3. To bring in more data, add Custom Parameters and insert them in the subject or body from the Email editor. The SemQL type inserts any value you can compute (for example, 'Initiated by ' || WorkflowInstance.InitiatorName). The Records (Chips) type inserts record chips from the current dataset.
  4. For the link, you can recreate the My Tasks URL thanks to SEMQL.
  5. Set the desired body.
  6. On the user task, clear Notify Candidates if you want the custom email to replace the standard one. Leave it selected if you want users to receive both.


Choosing recipients

The Send Email step runs before the user task exists, so the next task's assignee isn't known yet.

An expression such as NextStep.UserTaskInstance.AssigneeName fails with a "did resolve any usernames" error.

Define the recipients independently of the task assignment instead, for example:

  • the Users from Role type, using the role set as the task's Assignee Required Role, or
  • a SemQL - Usernames or SemQL - Emails expression.

If your task uses an Assignment Condition, a role-based list may notify more users than the actual candidates, so test the recipient list.
